Financial Administration Assistant – Bolton

Due to continued expansion, Aptus Utilities require a conscientious and enthusiastic Administration Assistant to provide support to the finance department and/or Manager. Duties include order processing, purchase ledger and general duties. A professional image must be maintained at all times.

Job Title: Financial Administration AssistantReports to: Finance Manager


Primary Responsibilities

  1. Form part of the finance team
  2. Maintain strong working relationships with our team, suppliers, customers, site agents and project managers
  3. Raise purchase orders for materials to be delivered to site, head office or stores locations
  4. Raise purchase orders and process requests for plant (hire and sales) in a timely manner for delivery to site, stores or for collection
  5. Update the plant tracker with all on hires and off hire
  6. Raise purchase orders for overheads, such as training and maintenance
  7. Make informed decisions using the pricing report on suitability of supplier products and prices
  8. Process any plant or vehicle damage requests through the relevant levels and raise orders when necessary
  9. Create and maintain weekly/monthly reports as required
  10. Deal with any ordering queries
  11. Match and enter invoices to orders using sage 200, following the approval process
  12. Upload a copy of the invoice to the invoice transaction
  13. Supplier payments using sage 200
  14. Month end supplier statement reconciliations
  15. Assist in the set-up of new suppliers and sub-contractors
  16. Ad hoc analysis and duties as directed by the team manager


Essential Knowledge & Skill Requirements

  • Good reading, writing, and arithmetic skills – GCSE grade A-C or equivalent in Maths and English
  • Working knowledge of computerised accounts system (Sage 200 or similar)
  • Knowledge of contract/job costing
  • Knowledge of Microsoft Office, specifically Microsoft Excel – Duties require professional verbal and written communication skills
  • Good telephone manner
  • Ability to work within timescales and to deadlines
  • Efficient and methodical approach to time and task management


Working Conditions

An office environment. Full-time 40 hours per week
