Design Administration Co-Ordinator

The Design Administration Co-Ordinator will conduct all administrative functions for the Design Team and will report to Technical Design Administration Manager.

What you will be doing:

  • Manage and update the design/revision trackers.
  • Allocate schemes on contract award and allocate points accordingly based on the quotation.
  • Compile weekly and monthly reports and issue to the Design and higher Management Team.
  • Arrange & attend any meetings as required and take minutes, this could be client based or internal meetings.
  • Make initial contact with the client after scheme award to request design information and confirm scope of works.
  • Provide any information updates to clients as required.
  • POC Management including- Acceptance & Payment, updating the POC tracker, requests & revalidation and updates & chasers
  • Plant Log Management- Undertake & manage Line & Land Searches as required
  • Undertake all legal functions including management of and reporting of- BCA (BI-lateral Connection Agreements), AA (Adoption Agreements), Easement and legal process logs
  • Liaise with clients regarding Heads of Terms
  • Process and handover to clients all revised approved design revision drawings.
  • To process, log and track all required design approval information as required.
  • To liaise with the Commercial Team regarding contract acceptance and upfront payments.

What we ask from you:

  • Good reading, writing, and arithmetic skills. GCSE grade 4 and above (A-C or equivalent) in Maths and English.
  • Knowledge of Microsoft Office including Excel.
  • Duties require professional verbal and written communication skills.
  • Good telephone manner.
  • Ability to work within timescales and to deadlines.

This is a full-time position working within an office environment
